Compare a job, not a feature count

Write the outcome before opening a pricing page: “route new enquiries to the right person,” “prepare a reviewed article brief” or “measure search visibility for our market.” Then compare two or three options against that same job. A long feature list is not evidence that a tool fits your team.

Build a shortlist in five questions

  1. Must it do this? Separate essential requirements from features that would merely be convenient.
  2. Who will run it? Include setup skill, training, support and routine maintenance—not just the first successful demo.
  3. What does normal use cost? Model your seats, contacts, workflow volume or other usage units, plus essential add-ons. Check limits and overages on the provider’s current plan.
  4. Can you trust and move the output? Examine accuracy, permissions, data handling, export formats and what happens if you leave.
  5. What would rule it out? Name the missing integration, control, accessibility need or operating burden that would make another choice better.

Example: an agency automating lead routing could compare one complete path—from the form to its CRM, an internal assignment and an exception alert. Compare the work of building and maintaining that path, not the number of apps advertised on each homepage.

Use the same trial recipe

Give each candidate the same realistic inputs and a written acceptance check. Test an ordinary case and one awkward case, such as a missing field or a failed step. Record output quality, manual corrections, setup effort and the recurring cost at expected volume.

If no option meets the essentials, keep the manual process while clarifying the requirement. A shortlist does not need a winner, and a trial should not become a migration before the evidence supports it.

Choose the right kind of article

The comparison hub organizes side-by-side decisions. Start with Zapier, Make and n8n for automation tradeoffs, or use the review directory when you need a deeper look at one product.

Before buying: verify current plan details, confirm the workflow with your own inputs, identify an owner and make sure you can export what matters. An old screenshot or an impressive AI-generated demo does not settle those questions.
